MSPH Faculty Directory Guidelines & Instructions
The Faculty Directory is a comprehensive database of full and part-time faculty. It enables us to maintain one central source of consistent, current information about faculty on our School's Web sites, as well as provide our constituents with a searchable database of faculty expertise at the School. We believe that this ability enhances our student and faculty recruitment, external relations, and research opportunities.
Who Should Complete an Online Profile?
Eligibility
Provided you have an active faculty appointment with the Mailman School of Public Health, and are a full-time or part-time faculty member, you should complete an online profile.
Examples of eligible titles include:
- Professor of Clinical Sociomedical Sciences
- Research Associate
- Adjunct Professor
- Professor
Examples of ineligible titles include:
- Staff Associate
- Student
- Coordinator

When Can You Complete an Online Profile?
New Faculty
You are eligible to complete a profile as soon as your appointment with the Mailman School is official and you appear in the main CU Directory: http://www.columbia.edu/help/search.html as a Mailman School faculty member.
However, your faculty directory login must be activated to give you profile access. Activations for new faculty are processed automatically every quarter, or you can request immediate activation via e-mail to: [email protected]
Faculty Prior to January 1, 2006 with Current MSPH Appointments
You are eligible to complete a profile at any time. If you have been unable to access the online form, your login may not be activated. Please send a request for activation via e-mail to: [email protected]

How to Fill Out Your Online Profile
Logging In
Once your login is activated (see above), follow these steps to gain access to the online profile form:
- Go to: http://www.mailmanschool.org/msphfacdir/login.asp; select "Continue"
- Enter your Uni and password and select "Log In" to be taken to the first page of the form.
Note: If your login for this application has not been activated, you will get the message "Your login to this application has not been activated. Please contact [email protected] for more information."
Entering Your Profile Data
You will need to complete three or four separate sections of the form depending on your status as a part- or full-time faculty member.
- Contact information
- History/Activities
- Publications, and;
- Expert Selections
Please allow up to 30 minutes to complete the form in its entirety.
Note: You can always save your work as you go and return to finish it at another time.
When entering your profile data please follow these steps:
- Enter your profile data into Section 1 of the online form: Contact Information
- Select "Save and Proceed to the Next Section" to save your information and continue completing your profile. You can also select "Save for Later" to save your work in progress. Should you choose to complete your profile later, you will be able to access your profile using the same Web address and password.
- Continue completing each section of the form until you complete the last section. At that point you will have two options:
a) Select "Save for Later" if you want to return to do more work on your profile or,
b) Select "Submit for Review" if you are finished and would like your profile posted to the Web site.
Posting Your New Profile to the Web
Once you select "Submit for Review" you need do nothing further to post your profile to the Web site. However, there will be a 2-3 day delay before your profile goes live while it goes through the following internal review process:
- Your 225 word biography is sent to Communications to be reviewed for consistency of style with the other bios.
- Your title is confirmed against HR's records.

How to Get Your Profile Photo Taken & Posted
School-Sponsored Photoshoots
Several times each year, the School organizes faculty photoshoots through the Department of Biomedical Communications. Upcoming photoshoot opportunities are announced via e-mail to all faculty. Detailed instructions regarding the date and time of each shoot are provided in the e-mail. Note: There is no need to wait to complete your online profile until you have a photo. Your profile will simply be posted sans photo to be updated later when a photo becomes available.
Photo Submissions by International Faculty
International faculty that are unable to attend a School-sponsored photoshoot may submit their own studio-style digital portraits. Those who want to submit a digital photo should e-mail it to Elizabeth Sparrow Tashiro at [email protected] for review.
Posting Your Photo
Once you have had your photo taken by Biomedical Communications, a contact sheet of your photos will be made available online for you to review and to pick your final photo. To choose your photo:
- Go to http://www.mailmanschool.org/msphfacdir/login.asp and login using your Uni and password combination.
- Your photos are on the first page of the form. Review your photos and enter the number of the photo you would like to use in the "Photo Selection" field.
- Click "Save for later" to save and submit your selection.

How to UPDATE Your Online Profile
You can update your online profile at any time by following the instructions below. However, please note that several fields require approval by HR or Communications to update, and so cannot be edited online. These fields include:
- Degrees
- Mailman School Administrative Titles
- Mailman School Academic Appointments and Titles
- 225 Word Bio Sketch
- Expert Selections
Please see "Instructions for updating locked fields" (below) to learn how to update this information.
Login to Update the Other Fields:
- Open a Web browser and go to: http://www.mailmanschool.org/msphfacdir/login.asp;
- Enter your Uni and password and select "Log In" to be taken to the first page of the form.
- Click through the various pages of the form to update your data where necessary. Simply use "Save and Proceed to the Next Section" at the bottom of each page to navigate through the application. You can also select "Save for Later" to save your work in progress. Note: Should you choose to update your profile later, you will be able to access your profile using the same Web address and password.
- When you reach the last page of the form, you will have two options:
Select "Save for Later" if you want to return later to do more work on your profile or Select "Submit for Publication" if you are finished--your changes will be immediately posted on the Web site.
Instructions for Updating the Locked Fields
To request a change to one of these locked fields:
- Degrees
- Mailman School Administrative Titles
- Mailman School Academic Appointments and Titles
- 225 Word Bio Sketch
- Expert Selections
- E-mail Elizabeth Sparrow Tashiro at [email protected] with details of the requested change. For example, to request edits to your 225 word biography, submit the revised bio by e-mail.
- The IT/Web group will review the change with HR or Communications, contact you for final sign-off, and update your profile with the new information.. Please allow 2-3 days for this review process to occur.
